Overview

Recovery is where distribution profit is kept

Salesmen collect cash from shops on their routes. Each recovery is entered against the shop and the salesman, so the shop ledger, the salesman's collection and the day's cash all agree at day close.

Receivables are split by age, so you can see how much is 0-15 days old and how much has been outstanding for months. Shops that stop paying can be marked blocked, which keeps their balance visible but separate from the money you expect to recover in normal course.

Key points

Notes from our setup team

Practical advice from setting up distributors like yours.

Close salesmen daily

Matching each salesman's recovery with cash handed in the same day avoids long disputes.

Review 60+ every week

Old balances rarely improve on their own; a weekly review keeps them moving.

Use blocked carefully

Block a shop only after follow-up, and record why, so the decision is clear later.

Give salesmen their list

A printed overdue list per route focuses each visit on collection.

FAQ

Recovery & receivables: common questions

Can I see recoveries per salesman?

Yes. Every recovery records the salesman, so collections can be reported by salesman, route or date.

What does blocked mean?

A blocked shop's balance stays on record but is reported separately, and new credit can be stopped for it.

Can cheques be recorded?

Yes. Recoveries can be recorded as cash or cheque. Cheque clearing steps are confirmed during setup.

Can the aging buckets be changed?

The standard buckets are 0-15, 16-30, 31-60 and 60+ days. If you need different ones, we discuss it during setup.
